At Griffin Security and Technology, we’re looking for a Chaos Wrangler Office Administrator who wants to work with a team that values kindness, integrity, and innovation, and we also usually can’t find our keys.

We’re looking for the fearless warrior who is not afraid to get dirty, that is brave enough to face a ringing phone, friendly enough to help Grandma Betty reset her password, and organized/tough enough to keep us from using the floorboard of our vans as our filing cabinet.

It’s not just about organization, we're looking for someone who will thrive in creating and implementing structure and systems that we need to support our team as our business is growing.

Essential Functions:

  • Operations and Organization - 50%

    • Work within existing systems to maintain daily operations (google workspace, Microsoft office, CRM, quickbooks, etc.)

    • Organize existing client, project, vendor, and product data

    • Prepare e-sign documents, create forms, data entry, system updates, etc.

    • Goal: help the day-to-day run smoothly

  • Creating and Process Optimization - 20%

    • Creating and maintaining new operational systems that are sustainable and optimize our workflows

    • Includes evaluating software, processes, people, etc. to find inefficiencies and bottlenecks, then creating and maintaining systems to optimize

    • Assist with initiatives to improve client experience, processes, culture, etc.

    • Goal: reduce friction, prevent repeat problems and make processes more sustainable as we grow

  • Front-line support and customer care - 20%

    • Answering the phone with a friendly voice and helpful mindset.

    • Provide basic support with clients such as address changes, ticket submission, password resets, etc.

    • Call customers for general follow up, check ins, reviews, etc.

    • Goal: make every interaction with our clients feel quick, helpful, friendly and professional

  • Scheduling and Coordination - 10%

    • Manage project timelines and client communication

    • Coordinate calendar of service appointments, install dates, etc.

    • Ensure projects run smoothly with pre-checks, follow-ups

    • Goal: help projects move forward with consistent client communication and reduce last-minute mistakes and surprises 

  • Other Functions

    • Occasionally detangle an unruly HDMI cable, and handle other random tasks that help things run smoothly

    • Participate in company events, meetings, professional development

    • Willing to travel one to two times per year for professional development, conferences, etc.

This role is NOT for someone who needs detailed instructions or who gets rattled by rapidly changing details. If you’ve ever opened a puzzle then thrown away the box with the picture on it just because you like the challenge… you may be exactly who we are looking for.

Experience in the security/technology industry is not required, but you must have strong general computer skills. You must be comfortable with taking online training courses, creating/editing documents and spreadsheets, and know who to efficiently and effectively use a computer for general administrative tasks. Training for our specific softwares will be provided.

Preferred previous experience (because we know these people thrive in managing chaos, humans and systems under pressure): Elementary School Teacher, athlete, office administrator, insurance agent, zoo keeper, HR director

Position Details

Work Schedule

  • Approximately 35-40 hours per week, Monday - Friday, 8:30am - 4:30pm

  • Job is in person, not remote, in Columbus, MS

  • Some light schedule flexibility may be required occasionally to support unique business needs, but we value reasonable schedules and prioritize work-life balance.

  • PTO: Competitive and encouraged (we like happy, rested humans)

Minimum Requirements

  • High school diploma or equivalent.

  • Strong computer skills including Microsoft Word, Excel, Google Docs, and other office software

  • Ability to quickly learn our industry structure, software, products and portals

  • Demonstrated ability to create and maintain organized systems, prioritize tasks, and follow through

Licenses and Legal Requirements

  • Must be able to pass a criminal background check through the Mississippi Department of Public Safety, and the Federal Bureau of Investigation for a national criminal record check

  • Valid driver’s license with generally clean driving record

  • Must be willing and able to obtain licensure for the Mississippi Electronic Protection Systems license. We will guide you through the licensing process.

The First 90 Days

  • The first 90 days will be an introductory period focused on learning, feedback, and getting your feet wet.

  • This is a mutual evaluation period where we make sure this role is a strong fit on both sides.

  • Together, we will define what winning looks like for your position. We will have regular check-ins to clarify expectations, and will make adjustments as needed.

  • You’ll receive structured feedback and support as you begin to take ownership of our systems and day to day operations.

  • At the end of this period, we will sit down together and decide if this is the right long-term fit.

Compensation

  • $13-$18 per hour

  • Regular performance evaluations tied to impact and growth,
    with opportunity for structured pay increases.

  • 8 paid company holidays and 10 days of PTO can be accrued over time
